VARMFC privacy policy

Updated 16 October 2026 · Fleet service and portal; retained legacy mobile clients

VARMFC provides restricted fleet availability and reporting services. Its standalone mobile clients have been retired in source; this notice continues to cover the active service and retained legacy records.

Operational information

The service processes fleet identifiers, vehicle attributes, availability and location/depot fields, imported fleet/report content and records of operational changes. It also handles authorised staff and administrator identities, device/access records, sign-in and audit/security events. Imported files and notes may contain information supplied by the operating organisation and should contain only what is needed for fleet work.

Storage and integrations

Cloudflare is the current authority for fleet data. Workers, D1 and associated report/file storage support the service and portal. The service imports fleet reports and email-supplied operational data and provides authorised vehicle lookups to MTFC, FTCU and WMFC. Cloudflare Access protects portal access. Historical Google Workspace information is a legacy source or archive, not the current authority for operational reads.

Use and recipients

Information is used to manage fleet availability, validate vehicle lookups, import and reconcile reports, troubleshoot and audit access. It is available to authorised organisational staff and service providers involved in hosting, authentication and report delivery. Information is not sold or used for advertising or cross-app tracking.

Retention and legacy clients

Fleet records and imported reports are retained for the operating organisation’s operational, audit and compliance needs. Different record types, archives and provider backups can have different retention periods. Retiring a mobile client does not erase its past submissions. Contact the fleet administrator about continued access, correction or deletion; do not reinstall or enrol a retired client to make a privacy request.

Publisher, hosting and international processing

Palingen publishes this app and this notice. Where your organisation uses the app for workplace operations, that organisation controls the operational records it enters and the staff who can access them. Contact your administrator about those records, or contact Palingen for help routing a request.

Hosting, security, email and platform providers process information needed to deliver their services. Cloudflare hosts this policy website and relevant Cloudflare services described above. Provider networks and subprocessors can process information outside Australia. Provider logs, recovery snapshots and backups can have separate retention periods. These policy pages do not send a visit to Palingen’s visitor-printer feed.

Questions, access, correction and complaints

Use the contact below for privacy questions, access or correction requests, deletion requests and complaints. Include the app name and enough detail to locate the relevant information, without passwords, enrolment codes or unnecessary customer information. Identity may need to be verified. We will consider the request and explain any limits, including records controlled by your organisation, legal retention, backups or copies already printed or shared.

If a concern is not resolved, you can contact the Office of the Australian Information Commissioner where applicable. This policy will be updated at this address when practices change.
